Freeze dates that actually protect a reporting pack
A freeze date only helps if evidence stops moving when the pack stops moving — how audit teams test that boundary.
Many reporting calendars name a freeze date, yet worksheets keep receiving “small” overlays until the portal upload. During a financial audit of a regulatory reporting application, that gap between policy and practice is often where exceptions cluster.
What we ask for
- The freeze notice circulated to preparers
- Version stamps on the pack marked for submission
- A list of post-freeze adjustments with approver names
- Evidence that rejected overlays were not reintroduced under a new filename
A practical test
Pick five material lines. Confirm the figure in the submitted application matches the frozen workbook, not an email attachment sent the morning of filing. If they diverge, the freeze date is ceremonial.
For sponsors
If your team cannot produce a single frozen artifact, fix that process before expanding sample sizes. Auditors will keep finding noise that is really version control debt.
